How clinics can use a WhatsApp assistant to cut no-shows and missed calls

Clinic phones ring all day, WhatsApp messages pile up after hours, and patients who forget their appointments leave empty slots. A WhatsApp assistant can take much of that load off your front desk — without replacing the personal care patients expect.

The problems it solves

  • Busy phone lines — patients give up and go elsewhere.
  • After-hours messages — questions sent at night go unanswered until morning.
  • No-shows — forgotten appointments waste doctors’ time and cost you money.
  • Repeated questions — hours, medical aid, prices and directions, asked again and again.

What a clinic assistant does

Answers common questions instantly

Opening hours, which medical aids you accept, consultation fees, services offered, directions and parking — answered in seconds, in English or Setswana.

Books appointments

The assistant collects the patient’s name, preferred time and reason for visit, then books the slot or sends the request to reception to confirm.

Sends reminders

A reminder a day or two before the appointment, with an easy way to confirm or reschedule. Freed-up slots can be offered to patients on a waiting list.

Hands clinical questions to your staff

A well-built clinic assistant never gives medical advice. Anything about symptoms, results or medication goes straight to a staff member, who sees the full chat and replies from the shared inbox. Urgent messages get a clear instruction to call the clinic or emergency services.

What a conversation looks like

  • Patient (21:40): Dumela, are you open on Saturday? Do you take my medical aid?
  • Assistant: Dumela! Yes, we’re open Saturday 8:00–13:00, and we do accept your medical aid. Would you like me to book you a slot?
  • Patient: Yes, 10am please.
  • Assistant: You’re booked for Saturday at 10:00 ✓ I’ll send you a reminder on Friday.

Example only. Your assistant uses your real hours, fees and the medical aids you accept.

Handling patient information responsibly

Health information is sensitive. Keep what the assistant collects to the minimum needed for booking, tell patients they are chatting with an AI assistant, and make sure your provider handles data in line with Botswana’s Data Protection Act and deletes it when you ask.

Getting started

  1. Gather your hours, fees, services and the medical aids you accept.
  2. List the 10–20 questions your reception answers most.
  3. Decide who on your team takes over chats.
  4. Book a demo — we’ll build a sample assistant from your information so you can try it.
